Privacy Policy

How Ventrax handles personal information. Last updated 31 August 2026.

This policy needs legal review before launch. It describes what the website actually does today, honestly, but it has not been reviewed by a lawyer against the NDPA. Do not treat it as final.

What this covers

This policy covers the Ventrax public website. Personal data inside the Ventrax application, belonging to our customers' businesses, is governed by the contract with that customer — there, we act as a processor and they decide what is collected.

What we collect on this website

  • What you type into a form. Your name, email, phone number, company and message when you request a demo, contact us, apply for a role or subscribe.
  • Where the enquiry came from. The page you submitted from, and campaign parameters if the link you followed had them.
  • A hashed version of your IP address. Used only to stop one source flooding our forms. We do not store the address itself.
  • Your browser's user agent string. To distinguish genuine submissions from scripted ones.
  • Which pages are read. With a one-way hash of your address and browser that changes every midnight, so a visit can be counted once without anybody being identified or followed between days. Choosing "Essential only" in the cookie notice removes even that.

What we do not do

  • No third-party analytics, advertising pixels or tracking scripts. This site loads nothing from anyone else's servers.
  • No returning-visitor tracking. The daily-changing hash makes it impossible by design, not by policy.
  • No cross-site tracking, and no profiles built about you.
  • We do not sell or rent personal data, in any circumstances.

Cookies

One cookie keeps your form submission secure against forgery, and one remembers that you dismissed the cookie notice. Neither tracks you. See the cookie policy.

How long we keep it

  • Demo and sales enquiries: up to 24 months from last contact.
  • Job applications: 12 months, then deleted.
  • Newsletter subscriptions: until you unsubscribe.
  • Rate-limiting records: hashed, and cleared after 30 days.

Your rights

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email privacy@ventraxerp.com and we will respond within 30 days.
